Allied health practices

IT for clinics where the schedule is the business

PhysiotherapyChiropractic Massage therapyNaturopathy Counselling and psychology

Allied health clinics are usually small, busy and built around a booking calendar. A locked-out front desk, a lost laptop with client notes or a failed backup is felt the same day. Clearpine Technologies is an Abbotsford managed IT provider with experience in clinic infrastructure; see our clinic build case study, and our pages for medical clinics and dental offices.

What allied health clinics typically need

  • Secure booking, charting and billing access. Whether your clinic uses cloud software or a program on a local computer, we work with all the major booking and charting products, and every practitioner needs their own login, multi-factor authentication where the software supports it, and prompt removal of access when someone leaves.
  • Confidential notes on safe devices. Encrypted laptops and tablets, screen locks, automatic updates and a plan for lost or stolen devices. This matters especially for counselling and psychology notes. See PIPEDA and clinic IT.
  • A shared-space network that makes sense. Treatment rooms, front desk, staff devices and patient Wi-Fi should not all share one flat network. We segment them and document who can reach what.
  • Practitioners who bring their own devices. Many clinics host independent practitioners. We help set a simple, written device and access standard that does not depend on everyone doing their own thing.
  • Virtual care that is private. Video sessions need a quiet room, a decent connection, a headset and a platform your professional body accepts. We set up the technical side and leave the clinical rules to your college.
  • Backups that restore. Local files, scanned intake forms, exports and shared drives backed up and test-restored. Principles are the same as in EMR backup best practices for BC clinics.
  • Phones, card terminals, printers and e-fax. The small equipment that stops a morning of appointments when it fails, supported during business hours.
  • Ransomware readiness. Patching, endpoint protection, email filtering and an offline or immutable backup copy. See five security gaps we see in clinics.

What managed IT costs

Managed IT support is $95 per user per month, with a minimum of 5 users and a 1-year agreement, delivered remotely during business hours. Microsoft 365 licences, after-hours support and on-site visits are billed separately. On-site visits are free if the problem cannot be fixed remotely. Clinics with fewer than 5 users are welcome: we can set up custom billing.

How we work with allied health clinics

  • A free IT assessment, on site within 300 km of Abbotsford or remote, with a written list of risks ranked by importance
  • Fixed-scope projects for new clinics, moves and hardware refreshes, scheduled outside appointment hours
  • Ongoing managed support for users, devices, network, firewall and backup

We are not a law firm or a regulator and do not give legal advice. What applies to your practice is a question for your regulatory college, professional association and your own counsel. We help implement and document the technical safeguards.

Questions

Allied health clinic IT: common questions

Do you support physiotherapy, chiropractic, massage and counselling clinics?

Yes. These practices share a similar shape: confidential client records, booking and charting software, shared front-desk equipment and often several practitioners under one roof. We scope support to the size of your clinic.

How much does managed IT support cost for an allied health clinic?

Our managed IT support is $95 per user per month, with a minimum of 5 users and a 1-year agreement. It is delivered remotely during business hours. Microsoft 365 licences, after-hours support and on-site visits are billed separately, although on-site visits are free if the problem cannot be fixed remotely. For clinics with fewer than 5 users, we can set up custom billing.

Can you support cloud booking and charting software?

Yes. We work with all the major booking and charting products. We support the devices, Wi-Fi, accounts, multi-factor authentication and backups around the software your clinic uses, and we help check settings such as user roles and access removal. For application-level issues, the software vendor remains the right contact.

Our practitioners are independent contractors who share space. How should IT be set up?

Usually each practitioner gets their own login, access limited to their own clients' records, and a shared network that separates staff and guest Wi-Fi from clinical devices. Who owns the records and who is responsible for them is a question for your agreements and advisors; we handle the technical side.

What privacy rules apply to an allied health clinic's IT in BC?

Private practices in BC are generally subject to the Personal Information Protection Act (PIPA), and each profession's regulatory college sets expectations for client records. Your college, association and counsel can confirm what applies to you. We help put technical safeguards in place and document them.

Can you assess our clinic on site?

Yes. Our free IT assessment is free with no obligation, and can be done on site at any location within 300 km of Abbotsford, or remotely.
